Position: Director of Operations

Overview
Stone Kalfus LLP, a growing Atlanta-based law firm with more than 20 attorneys across five offices nationwide, is seeking an experienced and proactive Director of Operations to oversee and enhance the firm’s daily and long-term operational and administrative functions. This key management role is critical to supporting and strengthening our reputation for exceptional client service.
Key Responsibilities
The Director of Operations will report directly to the Managing Partner and be responsible for developing and implementing processes to manage operations and costs.
Financial Management
- Analyze, develop, and oversee the firm’s operating budget.
- Prepare monthly and interim reports addressing productivity and profitability.
- Manage banking relationships, including operating accounts and firm credit cards.
- Oversee and manage client trust accounts, ensuring compliance with internal policies and legal requirements.
- Collaborate with and supervise billing staff to optimize monthly billing, accounts receivable, and accounts payable.
- Manage payroll, taxes, and 401(k) administration.
- Review, manage, and approve non-client expenses.
- Maintain and develop vendor relationships, including negotiation of terms.
- Identify insurance needs and coordinate renewals.
- Create and maintain inventory of firm assets.
- Liaise with the firm’s accountants.
- Attend monthly and interim partner meetings and present reports as requested.
Human Resources & Onboarding
- Oversee recruitment efforts, including job postings and recruiter coordination.
- Vet candidates, conduct initial interviews, and coordinate subsequent interview rounds.
- Develop and manage onboarding processes, including equipment setup, IT access, building access, website profiles, and business card issuance.
- Design and deliver new employee orientation and training on firm systems and procedures.
- Develop and conduct 30-, 60-, and 90-day check-ins with new employees.
- Coordinate and oversee monthly and interim staff meetings.
- Coordinate and participate in annual employee review processes.
- Develop, implement, and manage HR policies, overtime protocols, and PTO tracking.
- Monitor and manage staffing ratios and needs.
- Identify and oversee opportunities for continuing staff education.
- Manage employee performance issues with timely documentation and resolution.
- Maintain and update personnel directories.
- Process employee change of status requests.
- Develop and conduct employee offboarding procedures.
Office, Operational & Facilities Management
- Develop, implement, and manage firm policies and operational procedures.
- Oversee development and implementation of file and document management systems.
- Manage compliance with business licensing and State Bar requirements.
- Administer quarterly/annual attorney bonus calculations and payments.
- Develop and coordinate firm emergency procedures.
- Identify technology and equipment needs and oversee procurement.
- Manage vendor relationships, subscriptions, and service contracts.
- Coordinate firmwide meetings, continuing education, training sessions, and special events.
- Manage business development event planning and execution.
- Liaise with landlords on maintenance needs and negotiate facilities contracts as needed.
- Identify office space needs and coordinate with real estate representatives, landlords, and vendors.
Qualifications & Skills
- A commitment to your craft and an ongoing desire to improve.
- Bachelor’s degree in business administration, management, accounting, human resources, law, or related field.
- Minimum of 5 years of experience in law firm operations, administration, or similar operational leadership role.
- Demonstrated experience managing direct reports, including remote staff.
- Excellent verbal and written communication, interpersonal, and organizational skills.
- Strong analytical and problem-solving skills.
- Strong leadership and project management skills.
- Ability to inspire, lead, and work collaboratively.
- Ability to work under pressure and meet deadlines.
- Proficiency with legal technology platforms and Microsoft Office Suite.
- Membership in Association of Legal Administrators (ALA) is a plus
- Ability to travel occasionally as needed.
Compensation
Competitive salary commensurate with experience ($120,000–$150,000) plus competitive benefits.
